Vendor Check Utilities

The Vendor Check Utilities dialog is accessed from the Options menu on the Vendor Payments grid. All utilities, except Import, on the dialog operate on all vendor checks in the specified date range for the current employer. The utilities are not specific to one vendor. To delete, lock, or unlock (lock and unlock are in Live Payroll only) checks for one vendor only, see the appropriate button function or item on the Options menu.

The user first must select the desired date range from the dropdown list. The list includes all dates for entered vendor checks, as well as quarters, months, and calendar year. To enter a user defined date range select Enter Date Range and enter the start and end dates. All vendor checks in the selected range will be affected.

The following utilities are available:

Delete – Deletes all vendor checks for the employer in the selected date range. The user must confirm this choice by typing the word DELETE. Individual vendor checks can be deleted using the Delete button above the Payroll grid.

Export to CSV – Exports all vendor checks for the employer in the selected date range to a comma delimited file (CSV). A header record is included with the names of the columns. The file can be opened in a spreadsheet program, such as Excel, and manipulated as desired, or imported into another program.

Lock – Locks all vendor checks for the employer in the selected date range. This function is only available with the Live Payroll program option. Individual vendor checks can be locked using Lock Selected Checks on the Options menu above the Vendor payment grid.

Unlock – Unlocks all vendor checks for the employer in the selected date range. This function is only available with the Live Payroll program option. Individual vendor checks can be unlocked using Unlock Selected Checks on the Options menu above the Vendor Payments grid.

The following function does not use the date range fields.

Import - Imports vendor checks from last year's program that are dated after December 31 of the program year. This allows the user to have all vendor checks that are dated in the current calendar year together in the same program. The user can then create reports listing those vendor checks if necessary. This function is only available with the Live Payroll option because vendor checks can only be created with dates after December 31 of the program year using the Create Check button on certain state and federal forms. This is typically done when making payments due with year-end forms in January and February. The Create Check button is only available with the Live Payroll option also.
