1099 E-Filing Step 2: Create IRS file (FIRE or IRIS)

Screen description

This tab is used to convert your 1099 files into the required IRS file format.

The IRIS CSV portal does NOT support the Forms that are highlighted in yellow.
Payers (and form types) may be selected individually or combined to be in the same file. The IRS encourages the combination of multiple payers into a single file. But the 1099-NEC form type should not be combined with other forms because of 1099-NEC's earlier due date.
The IRS Create File screen lists only payers that have data (and that aren't already included in a previously created upload file). If a payer is not listed, you must exit the CFS e-file/MagMedia 1099 module and complete the 1099's for that payer. See A client is not on the list of those that can be e-filed.
A Payer may be listed more than once. Each form type for a Payer will be on a separate line (e.g. if a Payer is reporting both 1099-MISC and 1099-NEC there should be 2 lines for that Payer).
Not Created is the expected status because you haven't yet created the e-file upload file.
Do not submit omitted recipients as corrections.

Creating IRS files

  1. Select the File Type.
  2. Select the Payer(s)/Form types(s) you wish to prepare for FIRE System Upload.
    To select multiple rows:
    a) Hold down CTRL while clicking the rows, or
    b) Click Select All or Deselect All.
  3. Click Create File.

The program will perform a diagnostic check and will warn you if it detects any invalid data. All errors must be corrected before the file can be created. To correct errors, first print the list of errors, then exit the module, make the necessary changes, then go back to Opening the 1099 e-file Module.

The Data Warning Payer(s)/Form(s) status in Step 2 will still show Not Created Data Errors. However, if you have corrected all of the problems, you should be able to create the file this time. (If not, you will receive another Data Warnings message listing problems that still need to be corrected.)
  1. If there are no errors, the Save dialog will appear. Click Save. It is recommended to save the file in the default location.
    The path and file name are also copied to the clipboard, so that you can later paste them into the appropriate field on the FIRE System website. See Copying file name and path to the Windows Clipboard.
  2. The File Created dialog appears. Read it carefully in your program and click OK.
    Successfully created (and saved) Payers/Form types will no longer appear in Step 2.
  3. Click Step 3. See 1099 e-filing Step 3: IRS Submittal.
Compressed files are acceptable using WINZIP or PKZIP. However, DO NOT compress multiple files into one compressed file.
All files should be virus scanned prior to submitting to the IRS or a state agency.
