• Learn to recognize phishing emails, especially those pretending to be from the IRS, e-Services, a tax software provider or cloud storage provider. Never open a link or any attachment from a suspicious email. Remember: The IRS never initiates initial email contact with tax pros about returns, refunds or requests for sensitive financial or password information.

• Create a data security plan using IRS Publication 4557, Safeguarding Taxpayer Data, and Small Business Information Security – The Fundamentals, by the National Institute of Standards and Technology.

• Review internal controls, such as:

• Install anti-malware/anti-virus security software on all devices (laptops, desktops, routers, tablets and phones) and keep software set to automatically update.
• Use strong and unique passwords of 8 or more mixed characters, password protect all wireless devices, use a phrase or words that are easily remembered and change passwords periodically.
• Encrypt all sensitive files/emails and use strong password protections.
• Back up sensitive data to a safe and secure external source not connected fulltime to a network.
• Wipe clean or destroy old computer hard drives and printers that contain sensitive data.
• Limit access to taxpayer data to individuals who need to know.
• Check IRS e-Services account weekly for number of returns filed with EFIN.
• Report any data theft or data loss to the appropriate IRS Stakeholder Liaison.

IRS TIN Matching Bulk Upload File - This Utilities menu function will create a file containing 1099 TIN/name pairs that can be uploaded to the IRS's TIN Matching Service to verify then TIN/name before issuing 1099s.

Find Module - This Utilities menu function will find modules based on the keyword entered. The hotkey is SHIFT+F3.

Find Clients with Current Module - This Utilities menu function will find clients with saved data files for the currently selected module. The hotkey is SHIFT+F4.

Vacation and Sick Leave Tracking - Live Payroll paid time off (vacation and sick leave) balances carry forward to the new year when clients are imported. When the first check of the year is created, the balances are updated again to reflect late December checks made in Payroll 2015. Users should verify the balances and also review the vacation and sick time policy setup to see if changes are needed for the new year. For example, maybe the Sick Leave policy Accrual Start date or the Usage Reset date needs to be changed.

Connecticut UC-2/UC-5A/UC-5B - FTP File Upload Support - Connecticut has mandated electronic filing for UI effective with first quarter 2014. This module creates a file that can be submitted via FTP using the state's new CITWS website.

Pennsylvania UC-2/2A - UCMS FTP or File Upload Support - Pennsylvania has mandated electronic filing for UI effective with first quarter 2014. This module creates a CSV file that can be submitted using the state's new UCMS website.

Digital Signatures for check printing - A digital signature file can be used to sign blank printed checks in Live Payroll.

Foreign Address support - Foreign address fields were added to the Employer, Employee, and Vendor screens to support the foreign address fields added to many federal and state forms.

New to 941/940 Payroll Program

Client List Options - Users can specify which fields to display in the Client List. The Client List display can be restricted to only certain clients by applying filters. Client status for various filing requirements can be tracked using status fields. The status fields can be displayed on the Client List and highlighted using a customized color scheme.

Online UI Filing Support - Many states allow wage files to be uploaded to their UI online filing system. This stand-alone utility supports online filing by formatting wage files specific to many states and aids in the online log-in process.

Online Filing Support from the State UI Form Module - Online Filing Support has been added directly to the UI form for several states. Some of these states are not supported in the stand-alone module (see above) because the file requires tax report data only found on the state UI form. Other states are supported both in the UI form module and in the stand-alone module.

Additional Medicare Tax - This new tax is part of the Affordable Health Care Act and is withheld on employee wages once their Medicare wages reach $200,000. This tax will appear for all employers on the Payroll grid and printed paychecks (if withheld).

2013 Withholding Rates Updated - The American Taxpayer Relief Act of 2012 was signed into law in early January and the 2013 federal withholding rates were updated for Live Payroll and the Paycheck Withholding Calculator.

Colorado Form UITR-1

General

Paycheck Withholding Calculator - Additional Medicare Tax is a new tax on individuals created by the Affordable Care Act (Health Care). The Additional Medicare Tax is 0.9% withheld on Medicare wages over $200,000.

Enhanced to allow input and printing of hours and rates - An optional detail screen allowing the input of hourly rates and hours worked along with an itemized list of deductions was added. Entry of detailed data allows the user the print a detailed pay stub required by many states.

Payroll Tax Cut extension - The program was updated for the legislation extending the Payroll Tax Cut. The legislation provides for a reduced social security tax rate of 4.2% in 2012. Paycheck calculations in the Payroll grid and the Paycheck Withholding Calculator have been updated using the lower social security rate. At the time of the initial program release, the Payroll Tax Cut was temporary for two months. In late February legislation passed to extend the reduced rate through the end of 2012.

Form 941-X has always been available with the initial release of Payroll System, but it has been enhanced to allow data to be imported from last year's program. Users no longer need to purchase the prior year Payroll Corrector to import data to these two important forms.

New to 941/940 Payroll Program

2010 Tax Relief Act - A major part of the act was to reduce the employee's social security tax rate from 6.2% to 4.2% for 2011. The employer portion rate remains 6.2%. The program has been updated to reflect the lower rate. This includes employee withholding and employer liability reports. The legislation also extended the federal income tax cuts for two years through 2012. Federal withholding rates have been updated in the program.

HIRE Act ends. All HIRE Act related functions have been removed.

Advance EIC has been eliminated by legislation. The program provided Advance EIC Income Item, which automatically takes payroll entries to Form W-2, Box 9, has been removed. If users have created custom Advance EIC Income Items, then they must remove them manually. Form W-5 is obsolete.

Paper Deposit Coupons have been eliminated by legislation. Users must make liability payments via EFTPS. Form 8109-B has been removed.

Vendor Payments replaces 1099 Payments. ATF Payroll users will still be able to enter payments throughout the year and create Form 1099-MISC at the end of the year. More functionality was added primarily for Live Payroll users. See below.

Employee withholding filing status - Nonresident Alien was added as a federal filing status. The program makes the federally required withholding adjustments for nonresident aliens.

Employee withholding filing status - Exempt was added as a withholding filing status for federal and state. Withholding will be zero and the status will print on paycheck stubs.

Instructional Videos on the Web – A link was added to the Help menu that connects to the taxtools.com web page containing instructional videos describing how to use various CFS programs. Most videos are short and demonstrate how to perform specific tasks. Check the web often for new videos.

New to 941/940 ATF Payroll Program

Multiple State Payroll Support – Multiple states may be set up for each employer. Employees may earn wages in more than one state. State income tax withholding may be reported in one state and wages for state unemployment (UI) may be reported in a different state. State forms import only wages earned in that state. Federal forms import the total wages. You no longer need to create one employer for each state.

Customized Payroll Items – Each employer may now have their own set of customizable payroll items (tax, deduction, and income items). Each item can be marked as subject to or exempt from the other items. The program will set up your employers the same as last year. Users won't normally need to change anything. However, if some of the current payroll items are not used, then they can be deleted. If a particular employer requires more payroll items or the taxability of certain items needs to customized, then the user can make the necessary changes.

Hours Tracking – Hours may be entered into the Payroll grid for income items designated as Hourly, or Yearly if the Show Hours option is checked. Hours may be printed on the Custom Payroll Journal and will import into certain state forms.

Color Options for Forms and Worksheets – New colors options on the Configuration screen are provided to control the look of forms and worksheets. In addition, screen size for forms and worksheets can be controlled with a more flexible zoom menu on the toolbar.

Copy Employee/Recipient to Another Client – This function makes a copy of an employee/recipient (and their data) and assigns it to another employer.

Find Client – A utility to locate a client by searching for a portion of their name or ID number.

Employee/Recipient Options – One option allows sorting of employee/recipients by name or ID number. Another option allows users to hide employees/recipients marked as inactive. Both options affect the Client Folder display and the BY DATE payment data grid.

Label/Envelope Maker Options – New standard label size support has been added to the Label/Envelope Maker. Users now have the ability to specify their own custom label sizes and control the client data that prints on the labels. In addition, label and envelope fonts can be specified by the user.

Font Size on Module Library – Users can increase the font size on the Module Library by pressing CTRL and plus (+) or minus (-), or specifying the desired size on the Configuration screen.

Improved e-file support – The IRS FIRE system for electronically submitting the 1099 magnetic media file has switched from a dial-up system to an internet web site. The SSA system for W-2 magnetic media file submission has been an internet site for some time. CFS has provided links to the government sites so that users can take advantage of this method of filing.

State support for W-2 filing – Support for the state record has been added to the W-2 e-file/MagMedia program. Additional state support has been added each year since.

Form 941c is now available from the beginning of the year and will import data from the current Form 941. CA Form DE-678 is also available. Users no longer have to wait until the main Payroll Corrector release in the summer (which includes Form W-2c and W-3c).

Two-Place Fixed Decimal Data Entry - The data entry grid can be configured to allow the decimal point to be automatically added before the last two digits entered without the user having to type it.

1099-MISC Payment Grid for Data Entry - A data entry grid was added to enter 1099-MISC payments throughout the year in the same manner that 941 payroll data is entered. The grid is accessed from the Module Library. At the end of the year the data can be transferred to Form 1099-MISC. A 1099 Payment Journal Report provides a printed record of the payment data.

Client Checklist - Provides a checklist for all employers to track the completion of various forms. This report is accessed from the Payroll Reports screen and the W-2/1099 Reports screen.

New to Payroll Corrector

Transfer W-2 Data to W-2c - A new function was added to the Utilities menu, and as a button, to import the data from Forms W-2 to Forms W-2c. Multiple W-2s may be imported at one time and, besides boxes 1-8, the user may specify up to five optional boxes (including state data) to import to the blank boxes on Form W-2c. Custom Payroll Journal - A user customizable Payroll Journal is now available from the Payroll Reports screen (see Reports – Payroll on the menu). The journal can be tailored to your own preferences. You can specify which payroll fields will print and in what order. You can choose the reporting period and from several subtotal and YTD total options. You can even create and save a different layout for each client. Click the link above for more details.

New Payroll Grid for Data Entry - A data entry grid was introduced to help speed the repetitive work of entering paychecks. The grid column order can be configured by the user and data can be entered By Employee or By Date. Options allow Social Security, Medicare, and optional deduction field, wages and withholding to be calculated automatically. Another option will copy the last check with a matching wage amount. Magnetic Media for Forms W-2, 1099-DIV, 1099-INT, 1099-MISC, and 1099-PATR was released at the end of 2000. The other 1099 forms were added for 2001.
