UT Form TC-941-E - File Upload Instructions

The UT File Upload screen is accessed from the UT TC-941-E - File Upload to TAP entry in the Module Library list.

Beginning with tax year 2018, Form TC-941 and TC-941R were combined by Utah to make Form TC-941-E which must be filed electronically. Forms W-2 must also be filed electronically. This module prepares the file for Form TC-941-E filing on the Utah Taxpayer Access Point (TAP) website. CFS supports the fixed-length file format for Form TC-941-E.

Utah provides a secure file upload process for taxpayers to send return information using the Utah Taxpayer Access Point (TAP). Users should register and become familiar with the file upload process.

Businesses can upload their own return and preparers can upload returns for their clients using the fixed-length file format.

STEP 1

Sign up for a TAP account.

If you do not have an account:

· Click the Login to TAP button to go to https://tap.tax.utah.gov/TaxExpress/_/#3

· Click the Sign Up link and follow the steps.

If you already have an account:

· Click the Login to TAP button to go to https://tap.tax.utah.gov/TaxExpress/_/#3

· Enter the UserID and Password in the Login section.

· Follow the necessary steps to access the appropriate account and file a return using the Upload Fixed-length Files option.

STEP 2

Create the TC-941-E. First, create and save Form TC-941-E data files. Next, on the Utah File Upload screen select the form and filing period. Then select the employers with saved Form TC-941-E data files that are marked "Ready" in the status column.

The status column lists the status of Form TC-941-E for each employer. The meaning of each status is listed below.

Ready

One Form TC-941-E data file has been saved for this employer for the selected filing period and it may be included in the file.

None

No Form TC-941-E data file has been saved.

Duplicate

More than one Form TC-941-E has been saved for this employer for the selected filing period and the program cannot choose which to include. To include a file for this employer you must delete the extra files. Only one file may be saved.

MM/DD/YY - File Name

Form TC-941-E was included in a file with the specified file name on that date. The form data file may NOT be included in another file unless the status is reset. See STEP 5.

Only those marked "Ready" can be included in a file. Check the box next to the employers you want to include in the file. Click the "Create File" button, navigate to a directory where you will save your Utah upload files, enter the file name and click OPEN to save the file. We recommend you use the default directory created by the program to save all your Utah upload files. The file must end with a .txt extension.

STEP 3

Transmit the file to Utah using the TAP website. First click the ''Login to TAP'' button to connect to the TAP website. Enter your login User ID and Password. Navigate the screens to the Upload Fixed-length Files option. Click Add next to Attachments and be sure to select the correct type of file to upload. Click the Browse or Choose File button to locate the .txt file to upload. If you just created the file, then the path and file name can be copied from the Windows Clipboard into the Browse dialog by pressing CTRL+V. Follow the website instructions to submit the file.

STEP 4

You will receive a confirmation number for submitting the upload. Print a copy for your records

STEP 5

If you must resubmit, first correct the errors on Form TC-941-E for each affected employer. Next you must reset the status of the affected employers on the list by placing a check next to each employer name and clicking the RESET STATUS button. This allows those employers to be included in another file for that filing period. You may now create the file again as described in STEP 2.
