"Error 9 Subscript Out Of Range" when trying to 'Add/Edit Payroll Data'

Here is an example of the error message:

Problem

The error is triggered when the user selects 'Add/Edit Payroll Data' from the Module Library, or the user selects an employee from the 'Add/Edit Payroll Data' section in a client's folder.

Once the error is encountered the user is unable to continue and is returned to the software's main window.

Cause

The software includes a folder that is used to store tax rate tables. This folder could simply have too many files in it, more files than the software is expecting.

The folder C:\CFSLIB\COMMON has sub-folders for each year of the software.

An example folder would be:

C:\CFSLIB\COMMON\WRATE21

In this example, the WRATE21 folder contains tax rate tables for 2021.

Typically this folder has about 70 files in it. If for some reason the folder contains over 100 files, the error is triggered.

As far as what can cause this folder to have too many files, there are a wide range of possibilities.

Regardless of the cause, the solution is the same.

Solution

Force the software to regenerate the tax rate table files for a given year.

Follow the steps below:

  1. Make a note the release year of the Payroll System software that is producing the error.
  2. If you are in the software, exit the software.
  3. From the Windows Desktop run Windows File Explorer [ Keyboard Shortcut: Windows Logo Key + E ].
  4. Locate the C:\CFSLIB\COMMON folder and take a look inside.
  5. Locate a folder called WRATExx. The xx represents the 2-digit release year for the Payroll System software that is producing the error. For example, if Payroll System 2021 is producing the error look for the folder WRATE21.
  6. Rename the WRATExx folder to WRATExx-ORIGINAL. To rename the folder: Single-click the WRATExx folder to highlight it, then press [ Shift + F10 ] on the keyboard. A menu will pop-up. Select Rename from the pop-up menu. Then enter the new name for the folder.
  7. When the software is next run, a fresh WRATExx folder along with all tax rate table files stored inside this folder will automatically be regenerated.
  8. Run the Payroll System software. The error should be gone.
If the error persists, try the following: If you are in the software, exit the software. Rename the folder C:\CFSLIB\COMMON to C:\CFSLIB\COMMON-ORIGINAL. When the software is next run, a fresh COMMON folder along with needed sub-folders and files will automatically be regenerated. Run the Payroll System software. The error should be gone.
