Submitting files

Wisconsin accepts electronic filing for six Prior Years.
Wisconsin accepts electronic filing W2-C for Corrections.

Before filing, verify the payer’s 15-digit withholding tax number, federal employer identification number and legal name using the account look-up. The department offers preparers the opportunity to verify certain client-related data via an online data exchange program. Payroll providers can use the withholding data exchange to inform the department of a new client and verify withholding tax account numbers and filing frequency information, including new filing frequency data for the upcoming year. Files are acted on as received. Results are returned the next business day.

If you do not have a Wisconsin withholding number and are not required to withhold, enter 036888888888801 in the wage or information return box titled "Employer State ID Number."

Employers may request a 30-day extension for filing W-2s and 1099s with the department.

If the change affects Wisconsin withholding reported on the reconciliation, you must file an amended reconciliation. Only send W-2c and 1099 statements that affect the filing of the reconciliation.

A generic Wisconsin tax number 036888888888801 cannot be used if Wisconsin withholding is reported.

Transfer Instructions:

  1. Locate your Form W-2, 1099, or W-2G file on your PC or network.
  2. Click the Ready To Transfer link above.
  3. Select the appropriate option from the drop-down box.
  4. Make sure "Is this a test file" is checked "No."
  5. On the "Select the File" line, click on the Browse button to locate the file on your PC or network.
  6. Click Transfer to submit your file.

Note: Only files up to 50MB can be accepted. Files larger than 50MB should be zipped or divided into two or more files. A 13-digit confirmation number will be issued when the file has been accepted. If you receive an error message, the file has not been accepted. You must correct the errors and resubmit the file.
